Sweet Parting Of Ways
Why settle for bad feelings when your employee leaves the firm? Human resource managers can help to sweeten the occasion during the exit interview, and get valuable information to help the company in the new knowledge age. More often than not, human resource (HR) managers place more importance on job interviews than on exit interviews. In the best scenario, the manager will view the employee's departure as an opportunity to reshuffle the work team; in the worst scenario, the manager may feel this action as a 'slight' to the running of the department. But exit interviews can be an important channel of feedback that can benefit the organisation in the longer term. Though it may be difficult to conduct such an interview, the manager must do some groundwork beforehand to get as much out of it as possible. Here are some tips: Interview immediate supervisor: The manager must conduct a private interview with the employee's direct supervisor first. This is to hear from both sides of the fence. If the worker is adamant on leaving, it is best not to burn bridges with the supervisor who may not intend to leave for sometime to come. Acknowledge achievements: Prepare a list of achievements that the employee has achieved since joining your organisation. It will also be better if you can get this designed as a framed memento with signatures from top management. Every employee that leaves your organisation is a walking billboard. Arrange for alternative posting: If the employee has potential but feels that the current job has no career prospects, you should take the initiative to ask what alternative posting he will consider. You can also use this opportunity to reshuffle the job responsibilities of your staff and implement the overdue promotion exercise. Always remember that a talented employee will be continually restless in his current job. Job rotation may prove useful in this situation. Offer educational opportunities: Some employees feel that they cannot have a 'grip' on their jobs because they are not trained sufficiently. They may have found this out when they attend conferences and share experiences with their peers in other organisations. You can arrange for this employee to handle projects that are not bound to the office. He can also use this opportunity take up short courses. An overseas attachment can be considered here. If the situation is changed? Many HR managers are wary about conducting exit interviews because they feel uncomfortable by the employee's 'emotional' state. Managers must realise that the labour market is never static, taking into account the current influx of online employment agencies. It is the norm that the employee's decision to leave is also strongly influenced by better offers of competing organisations. The manager must tactfully encourage this employee to reveal his conditions to stay in your organisation. You may not be able to keep this employee; but you can put a lid on the problem spreading to other employees. Will the departure affect organisational knowledge? The departure of an employee will inadvertently create the transfer of organisational knowledge. It is the duty of all HR managers to ensure that their organisation's intellectual property has not been transferred to a competitor. Thus it is crucial to do a knowledge management audit. Build future alliance The visionary manager must see the departure of the employee as an opportunity to build future alliances with the other organisation that the employee is joining. Thus it is crucial that there must be an amicable parting. The Significance of the Mundane This article begins with a tip of the hat to a scholarly publication called the Journal of Mundane Behavior. Unlike other publications, which herald important issues, this one trumpets everyday, but rarely noticed, behaviors. It sees what the rest of us overlook because that stuff is so, well, mundane (my dictionary defines 'mundane' as being ordinary or common). Change or Die! To Change Your Organization, Hire a Business Coach It is a common business axiom ? change or die. As a small or mid-sized business owner or a manager, there will be times you will need to make changes in your organization but may not be sure how to go about it. Create Your Methodology Based on a Standard Framework - Part One OK. So you have decided that your organization has to improve the way in which it works. You have chosen to implement a methodology as the best way to achieve this goal. And now you ask yourself, where do I start? Whatever the discipline you are trying to model (from software development to supply chain management), it is highly probable that a standard framework exists, that can serve as the basis for your own methodology. Avoiding The Sheep Dip It is a sad fact that many employees are still being subjected to the age old training ritual of "sheep dipping". This is a process by which employees are "refreshed", "cleansed" and "re-invigorated" by ensuring they attend set training courses or, perhaps, are placed on the ubiquitous "refresher" course. This refresher course is, of course, necessary, because most employees forget what they have learned on similar courses that they had been previously on. Do they? A Winning Way to Handle New Ideas Janet DiClaudio, who was charge of medical records at two large American hospitals, had an unusual problem. What is Knowledge Management Anyway? When you think of all the things companies have, you do not always consider the knowledge they have. For instance, a company is only as good as its employees, its resources, and its knowledge. But, where and what is that knowledge? How is that knowledge managed within the company? Planning Your Recruiting Efforts Can Help You Find Great Employees Today, companies have an ever-expanding list of options available to them when it comes to sourcing new employees, from advertising in newspapers and trade journals to powerful, cost-effective recruiting options available through the Internet. Despite all the talk and more talk in the media and at national business gatherings, nothing significant ever seems to happen. Are You the Culprit? Are you a business, non-profit or association manager who pretty much ignores your organization's important outside audiences? Four Steps to Better Performance Reviews Direct reports-people who need direction and leadership-rely on their leaders to give them feedback and mentoring, not just management and evaluations. However, these people who most need their boss's help frequently lack the guidance that would enable them move to the next levels of success-theirs, their team's and the company's. Too often leaders are not prepared or trained to conduct an appraisal that stretches performance and ensures their direct reports' development. Instead, the appraisals become confrontational and judgmental; goals are not clear; neither person is prepared; and the discussion occurs when it's too late to do anything about the problem. Today's organizations demand more from their leaders. Therefore, a well thought out performance appraisal system, clear expectations, reviews that inspire, and action plans are critical to the individual's and organization's success. Service Level Agreement (SLA) Boot Camp Service Level Agreements, or "SLA's" are tricky but useful mechanisms for managing the risk of an on-going relationship with IT service providers. Unfortunately, most SLA's that show up in service contracts as worthless, cosmetic paper additions. SLA's can be extremely powerful tools to help you and your service provider get the most out of a relationship. However, all of that effort can represent a significant shift for a business - from quantity to quality. And this could make sure your business gets the desired results. PR Still a Mystery to Some Unfortunately, there are managers who define public relations by its applications. Which explains neither its underlying strengths nor what PR is all about. Coaching Champions at Work I saw Brian Kerr (the Irish national football coach) on television not so long ago and it reminded me of a platform I shared with him at a Banking Institute seminar in Dublin. Whilst I was waiting for my turn I listened to Brian and experienced two emotions ? admiration and jealousy. Firstly I admired what Brian had already achieved at under 21 level and the passion with which he expressed his love of the game. Secondly I was jealous at the way in which coaching in the sports world is readily accepted whilst coaching in the business world runs the risk of becoming yet another fad. In sports there is an unconditional acceptance that the coach is key to unlocking potential, in business coaching is seen as merely another name for training, and training as we know is for trainers to conduct, whilst management is on a different plane and status level altogether. In sports it is unusual for coaches not to be involved in training, indeed training is often an outcome of a coaching session. In business, managers at all levels appear keen to divorce themselves from the training function. The Devil We Know "I'm in an abusive relationship," sighed Andrew. "My bookkeeper annoys the hell out of me but I just can't let him go. I keep hoping he'll improve? it's torture. Why do I do this to myself." Think Twice Before Selling ROI When we're selling to business people, our value proposition has to show a good return. Solid, credible Return On Investment (ROI) calculations are supposed to prove this for us. But if we don't think twice, calculating ROI can sabotage our sale. Think it Over Every decision is a deliberate act. It's the result of a well rehearsed pattern. Using this pattern, we often gather data, analyze it and draw conclusions without much conscious effort. We do it because it works. And it works because our life experience has refined the technique that brings us the best results -- most of the time. Delegating Responsibility Too many managers waste both time and energy performing tasks an employee could perform just as well, thereby lowering productivity while raising operating costs. The answer to the problem is easy-delegation. However, many managers still limit their own effectiveness, create imbalances in the organization, waste their department's time and energies, and fail to develop their subordinates by either ignoring or mismanaging the techniques of delegation. A Corporate Facelift With Sound Bytes If Baby Boomers can get botox and tummy tucks, then why don't companies receive facelifts to improve their image as well? The telephone is the lifeblood of any business. Use it respectfully. Don't leave your clients on-hold to listen to radio static or elevator music. With digital recording and delivery of sound files, professional production of on-hold advertising is both economical and necessary for a positive image. That's right ? it's imperative that the first impression a client receives of your business (even though they may never visit) is how they're treated on the telephone. How many times have you called a business to hear "Thank you for calling ABC Dental Office please hold" before you can get a word in edge-wise." In many cases , what they have on-hold is your first impression of that company. |
